How the maths works

Tickets per month multiplied by the percentage resolvable remotely gives the number of tickets that no longer need an on-site visit. Multiplying that by average visit time gives hours saved; multiplying it by average visit cost gives money saved. Both figures are multiplied by twelve for an annual total. Subtracting annual tool cost from annual money saved gives the net annual saving, and dividing annual tool cost by monthly money saved gives the payback period in months.

Worked example

A team handles 120 tickets a month, with an average on-site visit taking 2 hours and costing £60. They estimate 70% could be resolved remotely, and the tool costs £3,000 a year.

How do I estimate the percentage resolvable remotely?
Look at a sample of recent on-site visits and count how many could plausibly have been fixed with screen control, file transfer or a script, without hands on the hardware. Most support teams land somewhere between 50% and 85%.
What should I use for average on-site visit cost?
Include technician time (travel plus fix time) at a loaded hourly rate, plus mileage or vehicle cost if you track it. If you outsource on-site visits, use the invoiced cost instead.
